1. Acceptance and authority
These Terms govern use of CurricuPilot. If you do not agree to them, do not use the service. Use on behalf of a district, school, government agency or other organization must be authorized by that organization. An individual staff account does not, by itself, authorize a user to enter a purchase agreement or bind a public agency.
A mutually executed customer agreement may contain additional terms. If it conflicts with these Terms, the written agreement controls for that customer, subject to applicable law. A purchase order, staff instruction, consent or account setting does not authorize submission of student information to this service.
2. Purpose of the service
CurricuPilot provides staff tools for curriculum requests, ordering, approvals, inventory allocation, purchasing preparation, notifications, reminders, support and related administrative records. Owner billing tools support quotes, invoices, recorded payments and subscription tracking. CurricuPilot does not make purchasing, instructional, legal, tax or policy decisions for a customer organization.
The service is intended for authorized adult staff and business contacts. It is not a student information system, learning management system or repository for student records. Do not create student accounts, connect student rosters or use the service to track individual students.
3. Accounts and access
Authenticated access is limited to approved accounts. Users must provide accurate staff account information, use only their assigned account, protect their Google account and devices, and promptly report suspected unauthorized access. Do not share accounts or passwords.
Administrators are responsible for appropriate roles and site assignments, reviewing access, training staff on these Terms and disabling access when duties or employment change. Users may not bypass permissions or attempt to access another organization’s records.
4. Student information is prohibited
Districts, schools, contractors and all other users must never submit student information to CurricuPilot. The service neither needs nor intentionally solicits this information. This prohibition applies even when information is publicly available, considered directory information, or a student or parent has consented to its use elsewhere.
What must never be submitted
- Student names, initials used to identify a student, student ID numbers, student email addresses, usernames or login credentials.
- Student rosters, attendance lists, schedules, transcripts, grades, assessment results or student work.
- IEPs, 504 plans, disability or accommodation information, health records, counseling records, discipline records or behavior reports about students.
- Student photographs, video, audio recordings, dates of birth, home addresses, family or parent contact details linked to a student, or other personal records.
- Descriptions, codes or combinations of details that could identify a student indirectly, even if a name has been removed.
- Spreadsheets, documents, screenshots, file names, links or imports that contain or expose any of the above.
Use staff and ordering information only
Use authorized staff names and work contact details, school sites, grade levels, curriculum titles, quantities and other administrative purchasing details. Use non-identifying totals when quantities are needed. Do not link a request, item, barcode, note or allocation to an individual student. Removing a name alone does not make a student record suitable for this system.
Review every field and file before submitting it, including hidden spreadsheet tabs, comments, images and document metadata. Staff bulk-upload templates are for staff accounts only; never upload a student roster. On-screen warnings do not replace this review or guarantee detection of prohibited information.
If information is submitted accidentally
- Stop using, sharing or exporting the affected record or file. Do not copy the student information into another message or upload.
- Promptly notify your district’s designated privacy or security contact and CurricuPilot Support. Use protected Support when available, or contact curricupilot@gmail.com if you cannot access it.
- Identify the affected order, support request or file using its record number or location and the approximate submission time. Do not include student names, the original file or screenshots containing student information in the report.
- Cooperate with review, access restriction and appropriate removal or other handling. Your district remains responsible for its incident-response decisions and any legally required notifications.
CurricuPilot may restrict access to affected material and coordinate appropriate handling with the authorized district contact, consistent with applicable law, customer agreements and retention procedures. Do not assume that editing or deleting a screen immediately removes every copy from logs, exports, emails or backups. These Terms do not waive either party’s legal privacy or security obligations.
5. District and user responsibilities
Customer organizations and their authorized users are responsible for:
- submitting only lawful, authorized staff and operational information and enforcing the prohibition on student information;
- reviewing curriculum selections, quantities, approvals, allocations, shipping choices and purchasing records;
- maintaining district approval, procurement, records-retention and accessibility procedures;
- reviewing spreadsheets and files before import, providing staff training and maintaining appropriate account access; and
- using exports and records in accordance with district policy and applicable law.
Do not enter account passwords, Social Security numbers, payment-card details or banking credentials into notes, support messages or attachments. Exchange sensitive tax forms and payment credentials through the district’s designated secure process.
6. Acceptable use
You may not use CurricuPilot to violate law or another person’s rights; submit prohibited student information; upload malicious code; disrupt or probe the service; bypass access controls; share unauthorized records; impersonate another person; use automated methods that unreasonably burden the service; or copy, reverse engineer or exploit the service except where applicable law expressly permits it.
7. Customer content and service ownership
As between CurricuPilot and the customer, the customer retains its rights in information it lawfully submits. The customer authorizes hosting, processing, transmission and display of authorized information as needed to provide, secure, support and maintain the service. This permission does not authorize submission of student information.
CurricuPilot and its licensors retain their rights in the service, software, design, documentation, branding and materials they supply. These Terms do not grant permission to use CurricuPilot branding beyond ordinary identification of the service.
8. Privacy and records
The Privacy Policy explains how information is handled. Users must follow their organization’s privacy, records, security and acceptable-use requirements. The Security & Privacy overview describes safeguards and the service’s intended scope. Prohibiting student information does not eliminate duties that may arise if prohibited information is submitted.
9. Subscription and billing records
Subscription scope, fees, service dates, payment terms, renewal conditions and cancellation rights are established through the applicable authorized customer agreement and accepted purchasing documents. Merely viewing a quote, downloading an invoice, signing in or saving subscription dates does not authorize a purchase or automatically renew a district agreement.
Quote, invoice and receipt tools keep administrative billing records. Recording a payment does not collect or transfer money. Receipts describe recorded payments and the balance at issue; later payments or corrections may change the current invoice balance. Districts should confirm payment instructions and the legal payee shown on their agreement and invoice before paying.
10. Availability, changes and reliance
CurricuPilot works to provide a dependable service but does not guarantee uninterrupted, error-free or absolutely secure operation. Maintenance, security issues, provider outages or events outside reasonable control may affect availability. Features may change over time, subject to commitments in an applicable customer agreement.
Users must review information before relying on it for approvals, purchases, payments, shipments or official records. Warranties, remedies and liability terms in an applicable executed customer agreement govern the relationship. Without such an agreement, the service is provided as available to the extent permitted by law. Nothing in these Terms excludes a right or obligation that applicable law does not allow the parties to exclude.
11. Suspension and termination
Access may be limited or suspended when reasonably necessary to protect the service or its users, address prohibited student information or other misuse, comply with law, respond to nonpayment under an applicable agreement, or prevent harm. Where appropriate, CurricuPilot will work with the designated customer contact to address the issue. Urgent restrictions may be necessary before advance notice is possible.
Customer termination, data return, retention and deletion are governed by applicable law, the customer agreement and documented retention procedures. Contact Support through an authorized district representative to coordinate an export or deletion request.
12. General terms and contact
If a provision is found unenforceable, the remaining provisions continue to apply. A failure to enforce a provision is not a waiver. The effective date identifies the current version. Material changes will be communicated through the service or to the designated customer contact, subject to any notice or amendment requirements in the customer’s executed agreement. Posting updated website terms does not, by itself, amend a separately executed district agreement.
Existing customers should use protected Support for account, service or privacy matters. If Support is unavailable, contact curricupilot@gmail.com. General business inquiries may also use the public contact form. Never include student information or confidential records in a contact message.
